Preparing for Registration:
The programs fill quickly, so prepare in advance to make registration easier. Check your login credentials and confirm that you can access your TJCTC account. If needed, reset your password using the “Forgot Password” option on the student login page. Follow our step-by-step guide or click “Forgot Password” on the student login page. Review available program dates and locations and choose both a preferred and backup location. What payment methods are accepted?
TJCTC accepts credit cards, checks, e-checks, purchase orders, and money orders. All registration and lodging fees must be paid before the conference begins. If payment will be delayed, contact Francisco at fjp12@txstate.edu.

What does the registration fee cover?
The registration fee covers program costs and meals. Fees are deposited into the grant account and follow grant funding requirements.
What if I or my county cannot pay the registration fee?
If payment assistance is needed, contact Thea Whalen at td24@txstate.edu to request a waiver.
What is the Texas State overhead assessment fee?
This voluntary contribution supports TJCTC expenses not covered by grant funding, including salaries, benefits, and additional food or lodging costs.
How much is hotel lodging?
Lodging is $100 per room night at all locations. Hotel Cost: $300 ($100 per night for 3 nights)
Is there a free lodging option?
Yes. TJCTC offers free double-occupancy lodging at all conference locations for attendees who prefer not to pay the lodging fee. Attendees selecting this option will be assigned a room with another conference participant.
Can conference fees be transferred to another event?
No. Conference fees cannot be transferred between events. To attend a different conference, you must cancel your current registration, register for the new event, and submit payment again. Eligible refunds will be issued for the canceled registration.
How does double occupancy work?
Attendees selecting double occupancy will be paired with another attendee of the same sex unless a preferred roommate is provided during registration. This option is free of charge.
If you choose double-occupancy during the registration process, a promo code will be displayed. You will need to enter this code in the promo code field when you get to the end of the registration process. The lodging fee will then be waived.
Can I share a room with a guest or family member?
No. Double occupancy is only available for sharing with another attendee. If you are bringing a guest, you must select a single room.
What happens if my roommate leaves or cancels?
If you no longer have a roommate after the first night, notify TJCTC immediately. Otherwise, you may be invoiced by TJCTC for lodging fees after the conference.
Do I need to report room changes?
Yes. Any room changes, roommate switches, or early departures must be reported to TJCTC to avoid unnecessary charges.
How much does a single room cost?
Single rooms are $100 per night and may be paid by credit card, check, eCheck, or money order.
Who makes the hotel reservations?
TJCTC handles all hotel reservations for conference attendees. Please do not contact the hotel directly unless you need to report a late arrival or have an emergency.
What time is hotel check-in?
Most hotels begin check-in at 3:00 or 4:00 p.m. If you arrive early, you may need to store your luggage until your room is ready.
Will I need a card or deposit at check-in?
Yes. Hotels require a credit card or cash deposit for incidental charges. Debit cards are not recommended because holds may take several days to clear.
What if I arrive late?
If you will arrive after 6:00 p.m. on your check-in day, contact the hotel directly and guarantee your reservation with a personal credit card to avoid cancellation.
Can I add lodging after registering?

Can I attend more than one 20-hour Experienced Judge Conference each year?
No. Participants may register for only one 20-hour Experienced Judge Conference per year because all five programs cover the same material. This restriction does not apply to workshops or other TJCTC events.
What is the cancellation, refund, and no-show policy?
To receive a full refund of the registration fee and Texas State overhead assessment fee, cancellations must be submitted at least two weeks before the event start date through your Student Portal. TJCTC does not accept cancellations by phone.
Cancellations made within two weeks of the event are not eligible for a refund. If you must cancel within that time frame, email Francisco at fjp12@txstate.edu.
Participants who register but do not attend (“no-shows”) are generally not eligible for a refund. Exceptions for medical or family emergencies may be considered on a case-by-case basis. Refunds may take up to 30 days to process.
Am I required to attend the full conference?
Yes. Because TJCTC events are grant-funded, participants must attend all scheduled training hours to receive credit. Participants who do not complete the full program may be responsible for related costs and may not attend future TJCTC events until outstanding balances are paid.

Can TJCTC accommodate disabilities, special needs, or dietary restrictions?
TJCTC works to ensure conference facilities are accessible to attendees with disabilities. Accommodation requests should be included in the “Conference Special Needs” section during registration.
Attendees may also note food allergies or request gluten-free, vegan, or vegetarian meal options during registration. While accommodations cannot be guaranteed, TJCTC will share requests with the hotel whenever possible.

Will printed conference handouts be provided?
No. Presentation handouts will be posted on the TJCTC website approximately one week before each conference and en email from the program administrator will also be sent regarding handouts. (Subject: Know Before You Go) Attendees should print or download any materials they wish to use during the event.
Can conference materials be copied or shared?
No. Conference materials may not be reproduced or distributed without prior written permission from the Texas Justice Court Training Center unless allowed under federal copyright law.
