This page has everything you need to successfully register for a TJCTC event. You’ll find step-by-step registration instructions, payment details, and information on cancellations, refunds, and rooming policies. Review all sections carefully to ensure a smooth registration experience.

How to Register for a TJCTC Event (Opens October 21)

Step by Step Instructions
On October 21st, navigate to TJCTC's Education Events page.
- Pick your event – Find the program and location you want.
- Click the registration link – It’s in the event description. (If you can’t see it, it will show up on September 30 when registration opens.)
- Log in – Use your TJCTC profile.
- Start your registration – Click “Conference Registration,” make sure it’s the right program and location, then click Continue.
- Add hotel (if needed) – Click to add the lodging fee.
- Answer questions – Room type, meals, etc.
- Check out – Review your cart and follow the steps to pay.

Preparing for Registration On October 21st
Registration opens October 21st
Some programs fill quickly, so take these steps now to be ready:
- Check your login. Make sure you know your username and password by logging into your account.
- Need to reset your password? Follow our step-by-step guide or click “Forgot Password” on the student login page.
- Pick your location. Decide on your preferred conference location and a backup option. A full list of dates and locations is available here.
- Plan your sessions. Visit our education events page, scroll to the program you’re interested in, and download the agenda packet. This includes course offerings to help you choose sessions.
- Need help? Here’s a step-by-step guide on how to select your sessions.
- Register early. Be online the morning of October 21st to secure your spot.
Registration Costs and Payment Options

Types of Payment Accepted
We accept payment by credit card, check, e-check, purchase order, or money order. Registration and lodging costs must be paid before the conference begins. If payment will be delayed, please contact Francisco at fjp12@txstate.edu to let him know it will be mailed late or brought to the program. Failure to pay in advance may result in cancellation of your lodging.

Registration Fee & Funding Information
Enrollment is confirmed upon receipt of each participant’s registration. The registration fee covers program costs and meals. As required by grant conditions, this fee is deposited into the grant account and is subject to the same restrictions as grant funds. If you or your county are unable to pay the fee, please contact Thea Whalen at td24@txstate.edu to request a waiver.
The Texas State overhead assessment fee is a voluntary contribution deposited into TJCTC’s private fund account. These funds support unrestricted activities not covered by the grant, such as salaries, benefits, and additional food or lodging expenses.

Hotel Lodging Fee
All room nights are a $100 charge regardless of location. This is a voluntary fee to cover the difference between the grant allowed GSA rate and the cost charged by the property. This cost allows education seminars to continue to be held in preferred locations throughout the state.
If you wish to not pay a fee for lodging, TJCTC offers double occupancy lodging at all locations for free.

Transferring Fees
Conference fees cannot be transferred to another event. To switch to a different conference, you must cancel your current registration and register for the new one. Your original payment will be refunded, and you will need to submit payment again for the new registration.

Guestroom Options at Registration
You will be able to select from the following options:
I Do Not Need a Room
Select this if you will commute to the event.Share with an Attendee (Double Occupancy)
- You will be paired with another attendee of the same sex unless you specify the name of your preferred roommate.
- There is no lodging fee if you choose double occupancy.
- If you have no roommate after the first night, please notify TJCTC or you may be responsible for half the room cost plus tax per night.
- Report any changes to your room (changing rooms, switching roommates, early checkout, etc.) to avoid unnecessary charges.
- Please note: This is only for sharing with another judge. If you are bringing a guest, then you will need to select a single room.
Single Room
- Cost: $100 per night, payable to TJCTC by check, eCheck, credit card, or money order.
- Be prepared for possible late afternoon check-in.

Hotel Reservations
The Training Center will make all hotel reservations for the event.
Please do not call the hotel directly unless you are calling about early or late arrival or for an emergency.

Hotel Check-in Information
Check-In Time: Most hotels check in at 3:00 or 4:00 p.m. If you arrive earlier, you may need to store your luggage at the bell stand until your room is ready.
Deposit for Incidentals: At check-in, you’ll need to provide a credit card or cash deposit for incidental charges. Do not use a debit card for this—holds on debit cards can take days to clear. Any unused cash deposit will be returned at check-out.
Late Arrival: If arriving after 6:00 p.m. on check-in day, you must call the hotel and guarantee your room with a personal credit card to prevent cancellation.

Forgot to add lodging? Follow the directions below to add lodging to your conference registration.
- Log in to your account.
- Open your conference registration.
- Click Purchase Add-Ons.
- Select the lodging fee and follow the checkout prompts.

Registration and Attendance Policies

Register for Only One 20-Hour Civil Process Conference Per Year
TJCTC offers several 20-hour programs across the state each year, all covering the same material. Locations vary to make it easier for participants to attend one near where they live. To ensure space for everyone, participants may register for only one 20-hour conference per year. This limitation does not apply to workshops or other TJCTC events, which you are welcome to attend in addition to your 20-hour program.

Cancellation & Refund Policy
To receive a full refund of the registration fee and Texas State overhead assessment fee, cancellations must be submitted at least two weeks before the event start date. Cancellations made less than two weeks prior are not eligible for a refund.
All cancellation requests must be submitted online through your Portal Profile—TJCTC does not accept cancellations by phone. If you need to cancel within two weeks of the event, please email Francisco at fjp12@txstate.edu. Please allow up to 30 days for refunds to be processed.
Exceptions may be made in the case of a personal or family medical emergency. If this occurs, please notify us as soon as possible so we can work with you on a refund.

No-Show Policy
Participants who register but do not attend a seminar (“no-show”) are not eligible for a refund. Exceptions are rare and will be considered on a case-by-case basis.

Attendance Requirement
TJCTC policy requires participants at any grant-funded event to attend all scheduled training hours. Those who do not complete the full program will not receive credit and will be responsible for any related costs. Attendance at future TJCTC-sponsored events will not be permitted until all outstanding charges are paid.

Persons with Disabilities
The Texas Justice Court Training Center makes every effort to ensure that conferences are held at facilities that are accessible to persons with disabilities. If you plan on attending a conference and will need special facilities or accommodations relating to your disability, please make note of the requirement in the "Conference Special Needs" section of your registration on the online registration system.

Meal Preferences
During registration, you can inform TJCTC of any allergies or dietary restrictions. For conferences that include meals, you may select from allergy (and specify the allergen), gluten-free, vegan, or vegetarian options. While we cannot guarantee the hotel will be able to accommodate all requests, we will share the information with them whenever possible.

Conference Handouts
All presentation handouts will be available on our website and uploaded one week before each conference. Please print or download the handouts for any course you plan to attend, as TJCTC will not provide physical copies at the event.
